Welcome to Karagwe Tours & Safaris. These Terms and Conditions explain the terms applicable to enquiries, bookings, payments, and travel services arranged by our company.
1. About Karagwe Tours & Safaris
Karagwe Tours & Safaris is a Tanzania-based tour operator offering travel experiences showcasing Tanzania’s wildlife, natural beauty, culture, and destinations.
In these Terms, “we”, “us”, and “our” refer to Karagwe Tours & Safaris. “You” and “your” refer to our customers and travellers.
2. Acceptance of These Terms
These Terms apply to enquiries, quotations, bookings, and travel services arranged by Karagwe Tours & Safaris. By confirming a booking or making a payment, you acknowledge that you have read and accepted these Terms.
Any additional conditions specifically agreed in writing for a tour will also apply to that booking.
3. Tour Information and Services
We aim to provide accurate descriptions of tours, itineraries, accommodation, transport, activities, inclusions, and exclusions. The services included in your booking are those stated in your quotation, invoice, itinerary, or written confirmation.
Wildlife sightings, weather, road conditions, and other natural or operational circumstances cannot be guaranteed. Itineraries may be adjusted when reasonably necessary for safety, availability, or operational reasons.
4. Booking Confirmation
A booking is confirmed once the required deposit or full payment has been received according to the agreed payment terms and a booking confirmation has been issued by Karagwe Tours & Safaris.
Customers should check their travel dates, itinerary, number of travellers, accommodation, inclusions, exclusions, and total price before making payment.
5. Prices and Payments
Tour prices, deposit requirements, payment deadlines, accepted payment methods, and applicable transaction fees will be communicated during the booking process.
Customers must pay the agreed amounts by the specified deadlines. Failure to pay may result in cancellation in accordance with the agreed booking conditions and applicable law.
Additional services, upgrades, or itinerary changes may incur extra charges. Where reasonably possible, these charges will be communicated before proceeding.
6. Customer Responsibilities
Customers agree to:
- Provide accurate personal, passport, contact, and booking information.
- Obtain valid passports, visas, permits, and other required travel documents.
- Follow applicable laws, park regulations, and reasonable safety instructions.
- Respect local communities, cultures, wildlife, and natural environments.
- Inform us of relevant medical, dietary, mobility, or accessibility requirements.
- Behave respectfully toward guides, staff, fellow travellers, and service providers.
Serious misconduct or failure to follow safety instructions may result in restrictions on participation where reasonably necessary. Any resulting charges or refunds will be handled according to the booking agreement and applicable law.
7. Travel Documents and Entry Requirements
Customers are responsible for ensuring that passports, visas, permits, and other travel documents meet the requirements applicable to their journey. Immigration and health requirements may change, so travellers should verify current requirements with official authorities.
8. Health, Safety, and Travel Insurance
Customers should assess their fitness for planned activities and seek medical advice when necessary. Relevant medical, dietary, or accessibility requirements should be disclosed in advance.
We strongly recommend comprehensive travel insurance covering, where appropriate:
- Trip cancellation and interruption.
- Emergency medical expenses and evacuation.
- Travel delays and missed connections.
- Lost, stolen, or delayed baggage.
- Personal liability and adventure activities.
Travel insurance is not included unless expressly stated in writing.
9. Changes to Bookings
Requests to change travel dates, accommodation, destinations, activities, or other arrangements should be submitted as early as possible. Changes depend on availability and supplier conditions and may result in additional costs.
Changes are not confirmed until accepted by us in writing.
10. Cancellation by the Customer
Cancellation requests must be sent in writing to info@karagwetoursandsafaris.co.tz. The cancellation date will normally be the date we receive the request.
Unless different conditions were expressly provided and agreed at booking, the following cancellation schedule generally applies:
- More than 60 days before departure: The deposit may be refundable, less non-refundable third-party costs and applicable disclosed administrative fees.
- 30–60 days before departure: Up to 50% of the total tour price may be charged.
- 15–29 days before departure: Up to 75% of the total tour price may be charged.
- Less than 15 days before departure or failure to arrive: A refund will generally not be available.
These conditions are subject to the actual booking terms and applicable law. Special offers, flights, permits, accommodation, and tailor-made tours may have different cancellation conditions, which will be communicated before confirmation where applicable.
11. Refunds
Approved refunds will normally be returned through the original payment method where reasonably possible. We aim to process approved refunds within 14 business days, although banks and payment providers may require additional time.
Valid cancellation charges and disclosed, unrecoverable third-party costs may be deducted where permitted by the booking agreement and applicable law.
12. Cancellation or Changes by Us
We may need to modify, postpone, or cancel a tour because of severe weather, natural disasters, safety concerns, government restrictions, supplier failures, or other circumstances beyond our reasonable control.
Where reasonably possible, we will discuss alternatives such as rescheduling, applying eligible payments toward another tour by agreement, or refunding services not delivered, subject to valid unrecoverable costs and applicable law.
13. Third-Party Service Providers
Accommodation, airlines, transport, park activities, and specialist excursions may be provided by independent suppliers. Their services may be subject to their own terms, availability, and operational limitations.
We will exercise reasonable care in arranging services. Nothing in these Terms excludes responsibility that cannot lawfully be excluded.
14. Wildlife and Adventure Activities
Travel in wildlife areas, national parks, remote locations, and natural environments involves risks, including changing weather, uneven terrain, wildlife encounters, and limited access to medical facilities. Customers must follow guide instructions and applicable safety rules.
Wild animals move freely in their natural habitats, and sightings cannot be guaranteed.
15. Liability
We will exercise reasonable care in arranging and delivering the services included in a confirmed booking. To the extent permitted by law, we are not responsible for events outside our reasonable control, except where applicable law makes us responsible.
Nothing in these Terms limits liability where such limitation is prohibited by law, including applicable liability for negligence, fraud, or personal injury.
16. Force Majeure
Force majeure means exceptional circumstances beyond reasonable control that prevent or significantly disrupt a booking. Examples include natural disasters, floods, wildfires, epidemics, government restrictions, civil unrest, armed conflict, extreme weather, transport disruptions, and road closures.
We will take reasonable steps to inform affected customers and discuss practical alternatives. Refunds and unrecoverable costs will be handled according to the booking agreement and applicable law.
17. Complaints
Please notify your guide, tour representative, or our office of any concern as soon as reasonably possible so we can try to address it. Written complaints may be sent to info@karagwetoursandsafaris.co.tz.
18. Privacy
We collect and use personal information as necessary to respond to enquiries, process bookings, arrange travel services, communicate with customers, and meet legal obligations. Please read our Privacy Policy for further details.
19. Website and Intellectual Property
Unless otherwise stated, website text, branding, photographs, graphics, and other content are owned by or used with permission by Karagwe Tours & Safaris or their respective rights holders. Protected content may not be reproduced or commercially used without permission, except where permitted by law.
20. Applicable Law and Disputes
These Terms shall be interpreted in accordance with applicable laws of the United Republic of Tanzania. We encourage customers to contact us first to seek an amicable resolution of any dispute.
21. Changes to These Terms
We may update these Terms from time to time. The latest version will be published on our website with its effective date. Changes to existing bookings will be handled according to the booking agreement and applicable law.
